Professional Visitors Questionnaire 

All visitors who wish to come to visit the University for a period of 5 days or more will need to complete our online Professional Visitors questionnaire. This will allow us to assess your visitor status, whether you need to apply for immigration permission for your visit and to provide you with any supporting documentation that you will need to apply for a visa to come to the UK.  

We recommend that all prospective visitors submit their questionnaire at least 3 months before their planned visit to the University to allow sufficient time for their questionnaire to be assessed, documentation to be produced and for them to make any subsequent immigration application. 

We aim to process all submitted questionnaires within two working weeks of the date of submission but we will operate at a reduced capacity from the middle of July until the start of November each year as priority will be given to student related advice work during this time.

Prospective visitors will be notified if their submission cannot be assessed within two working weeks. Once we have assessed your questionnaire submission, we will contact you to advise you of the outcome and to tell what type of immigration application (if any) you will need to make to come to the UK.  We will also then work with colleagues elsewhere in the University to provide you with any supporting documentation that you will need to support your immigration application.

Help with your immigration application

Our trained immigration advisers in the Professional Visitors service will be able to offer you with immigration advice and assistance with your visa application. 

The Professional Visitors Service will operate at a reduced capacity from the middle of July until the start of November each year as priority will be given to student related immigration work during this time.  During these times, we will be unable to provide immigration advice and assistance and will only be able to process Professional Visitors Questionnaires and provide letters in support of immigration applications.  You can find information about how to find an alternative source of immigration advice in the UK on the UK government website.

Staff ID card requests

Any visitors (irrespective or their nationality or immigration status) who will be coming to visit the university for a period of 5 days or more will need an Aston University Staff ID card.  Their contact at Aston University will need to apply for a staff ID for the visitor at least one working week before the day that they will be arriving at the University.

Arriving at Aston University

When you arrive at the University, your contact at the University should meet you and bring you to The Hub in the main building. If you are not a UK national, then you will need to make sure that you bring your passport and your current immigration permission to be in the UK with you so that we can take a copy for our records. If you require a staff ID card, your contact should then take you to the IT helpdesk so that your photograph can be taken, and a card created for you.
