Guidance notes

The SRO team will start all of our events at the advertised times so please make sure that you arrive on campus in plenty of time and at least 15 minutes before the advertised start time.

Lunch is not included as part of your visit to Aston (unless specifically stated otherwise in your confirmation email about the event). Visitors are more than welcome to use our on campus facilities to purchase food.

Photography consent

Some photographs/videos of the events may be recorded. If you do not wish to have your image used on our website/social media please email us at sro@aston.ac.uk.

Cancellation policy

All of our on campus activities (with the exception of some Residentials) are free for students to attend. However, due to the popular demand and limited places for these events, the Student Recruitment and Outreach team have a cancellation policy in place. If for any reason students can no longer attend, we ask that you give at least two weeks’ notice. Please note that a cancellation fee of £15 per student will be charged for any cancellations made with less than two weeks’ notice and for any student who fails to attend on the day. The £15 will be charged to the school/college in the first instance and can be passed on to the student at the schools/colleges discretion. This fine is implemented to cover administration and materials/resources. The Student Recruitment and Outreach team reserve the right to cancel an event should we have insufficient numbers booked on to a particular session. Should this be necessary, we will give you no less than 7 days’ notice of cancellation.

Bespoke requirements

The Student Recruitment and Outreach team will endeavour to meet all specific requirements that are needed to facilitate and deliver your bespoke event. However, we work with hundreds of schools and colleges throughout the year and at times it may not be possible to meet all your specific requirements. On these occasions we may have to offer you an alternative service.

Dietary requirements

If your student has specific dietary and/or special need requirements please do not hesitate to contact the Student Recruitment and Outreach team on sro@aston.ac.uk to discuss what food we may be able to provide and how best we can meet the students' needs.

Data protection

To take part in Aston’s events the data provided on this form (or subsequent correspondence) needs to be shared with local universities and the school students attend. With your permission, the data on this form will also be shared with other organisations to help us track students educational progress. These organisations will match this data with their records, and return it to us so that we can see how they are getting on. The organisations we would like to share data with are: students schools, the local authority, the National Pupil Database, UCAS, the Higher Education Statistics Agency, who deal with admissions to higher education, and HEAT, which collects data on attainment and admission to higher education. This research will help us support more young people in the future. Any information we publish will not identify individuals without their permission. Under the Data Protection Act 1998, individuals have the right to a copy of the data held about them by us, for a small fee. If you have any questions about how the data will be used or would like a copy of your individual data please contact us at SRO@aston.ac.uk. If you are a teacher booking on behalf of your students, you must notify students of this data collection and notify Aston if a student does not wish to participate before the event.

Maps and directions

The Aston University campus is located in the heart of Birmingham city centre so parking for visitors on campus is limited. 


As parking for visitors is limited, we would recommend that you travel to Aston University via train. We are only a 5-10 minute walk from Birmingham New Street, Moor Street and Snow Hill train stations. 

Travelling by car

If you are travelling to Aston University by car there are many pay and display car parks near to our campus. The closest is Millennium Point Car Park which is only a 5 minute walk from our main reception. The Sat Nav for the multi-storey car park at Millennium Point is B4 7SA. However, please be aware this car park does get full quite quickly.

Coach/mini bus requests 

If you are planning on travelling to Aston University by minibus or coach you must request a parking permit with the organiser of the event in advance. Spaces are limited and will be allocated on a first come first served basis.

Disabled parking 

If you require disabled parking facilities please contact the team at SRO@aston.ac.uk prior to the event and we can arrange this for you.
