Information prior to visit

Safeguarding Policy

All Aston University Staff, Student Ambassadors and any external staff involved with Schools and Colleges Liaison (SCL) events will have received, read and signed a code of conduct agreeing to adhere to the guidelines of the Aston University SCL Safeguarding Policy.  All SCL Staff have CRB/DBS checks in place and there is also an appointed Departmental Safeguarding Officer.  If you have any queries about the SCL Safeguarding Policy, please contact the member of SCL staff coordinating your event.

Risk Assessment for SCL Events

SCL has a generic risk assessment in place for all of its events taking place on campus.  You can find a copy of the risk assessment at the bottom of this page. 

We would ask that any institution visiting the campus as part of an organised event coordinated by SCL, should read, sign and return the risk assessment to the relevant SCL member of staff coordinating your event at least one week prior to the event taking place.  

If we do not hear from you, we will assume that you are satisfied that all issues have been covered within the risk assessment.  

If there is anything that you feel has been omitted from the risk assessment please do not hesitate to contact your SCL coordinator and we can work to resolve the issue.  Any further information related to the visit will be given to accompanying school/college staff on the day of the event.

School/College Staff & Student Codes of Conduct

SCL has a generic set of guidelines in place that we expect all visiting staff and students to adhere to.  You can find copies of the School/College Staff Code of Conduct and Student Code of Conduct for Campus Visits at the bottom of this page. 

We would ask that any institution visiting the campus as part of an organised event coordinated by SCL, should read, sign and return both codes of conduct to the relevant SCL member of staff coordinating your event at least one week prior to the event taking place.  

By signing and returning the two codes of conduct you are confirming that:

  • All school/college staff accompanying students on their visit to Aston University have read and agree to adhere to the guidelines set out in the School/College Staff Code of Conduct;
  • All students attending the visit have been made aware of the guidelines set out in the Student Code of Conduct for Campus Visits;
  • All school/college staff accompanying students on their visit to Aston University are aware of what is expected of their students while visiting the Aston University campus;
  • All school/college staff accompanying students on their visit to Aston University will help to ensure that visiting students adhere to the guidelines set out in the Student Code of Conduct for Campus Visits;

Please note that your visit cannot take place until both codes of conduct have been signed and returned to your SCL coordinator.

Dietary and Bespoke Requirements 

SCL will endeavour to meet all specific requirements for any event that they organise.  If your students have any specific dietary and/or special needs requirements please do not hesitate to contact your SCL coordinator to discuss what we may be able to provide.

Directions, Maps and Parking

Please note: Aston Street is no longer accessible as a through-road.  Coaches will still be able to enter Aston Street via the James Watt Queensway entrance but will need to pull in at the mini-roundabout to drop off the students and then turn back around towards the James Watt Queensway. 

Please also be aware that due to building works at Aston University, parking on Campus is now very limited for visitors.  If you are arriving by minibus please contact your event organiser as soon as possible to request a parking space.  Please note: parking for minibuses cannot be guaranteed and is subject to availability.  Requests will be considered on a first-come first-served basis.

Schools & Colleges Liaison Cancellation and Non-Attendance Policy and Charges 

All our Conferences, Masterclasses, Pre-16 Guest Lectures, Challenge Days and University Visit Days are free to attend, however due to the large number of events that we co-ordinate on campus and the limited number of places available please note that Schools & Colleges Liaison have a cancellation and non-attendance policy in place.

The Cancellation and Non-Attendance Policy and charges do not apply to the Aston University Open Days or the Birmingham UCAS Higher Education Convention which is held at Aston University.

Cancellation
For all events held on campus we require a minimum of 2 weeks’ notice if you wish to cancel your attendance or cancel any places you have previously booked.  For all cancellations made with less than 2 weeks’ notice a cancellation charge will be incurred.

Non-Attendance
If the number of students attending any event on campus falls below 75% of the expected numberof students due to attend then a non-attendance charge will be incurred.

Cancellation and Non-Attendance Charges
Conferences, Masterclasses, Pre-16 Guest Lectures and Challenge Days

For all Conferences, Masterclasses, Pre-16 Guest Lectures and Challenge Days held on campus any cancellations made with less than 2 weeks’ notice will incur a cancellation charge of £15 per place, for which the school or college will be liable.  The same charges will apply if attendance on the day at any of these events falls below 75% of the expected number of students.

University Visit Days/Campus Visits
For University Visit Days and bespoke individual school/college Campus Visits, where large group bookings (50+ students) are made to visit the campus, a one off charge of £225.00 will be imposed on to the school/college should they cancel their group booking within 2 weeks’ of the event.

If attendance falls below 75% of the expected number of students at a University Visit Day or a bespoke individual school/college Campus Visit a charge of £15.00 per student will be incurred by the school or college.

If a school or college fails to attend an event they are booked on to this will be treated as a cancellation and the cancellation charge will be incurred by the school/college.

The cancellation charge will not be imposed if the school or college who are unable to attend are able to find a replacement.
